The Goal
Beiersdorf (a multinational company known for personal-care products) wanted to test and improve their abilities to find new solutions for the major challenges that arise in their legal department.
To embed an innovative mindset among employees, empower them to independently engage in creative co-creation processes and make them feel comfortable to face upcoming challenges, we were asked to initiate a cross-site in house legal design challenge.
In three teams, international volunteers of the Legal department worked on three relevant topics:

Team 1
Privacy Policy
How should the privacy policy be designed to make it understandable for consumers and business colleagues?
The research revealed Pain Points and Key Needs of the stakeholders
Key Insights: The Stakeholders need quicker and easier accessible information on data protection.
The team created a digital database platform with Chatbot-support and FAQ that provides explanations and gives clear instructions.
With short and easy language it enables all employees to navigate through the essentials of privacy policy.

Scope of Legal Affairs
How can the responsibilities and task distribution be visualized and promoted so that the business units understand when and why the legal department is responsible and needs to be involved?
The research revealed Pain Points and Key Needs of the stakeholders
The team created an interactive online navigator. It helps getting quick responses on FAQ, provides direct communication from the legal department for open exchange and links to all resources needed.

“Communication, visibility and more simplistic processes are the key.”

Knowledge Sharing
How can the expert knowledge of the Beiersdorf legal community be made globally accessible and shared?
The research revealed Pain Points and Key Needs of the stakeholders
The team worked out a guidance plan and a communication concept and set up a user-friendly communication platform.
It combines a community chat tool for general legal questions with a database where important topics are highlighted in a standardized way and feedback loops are visible to follow the workflow of knowledge creation.
This idea was topped with a campaign to celebrate exchange, keep the sharing fluid and make cultural change possible.
